Overview

General Summary of the Position

 

In accordance with established policies and procedures, the Shared Accountant will provide accounting support for multiple participating Diocesan entities including both parishes and elementary schools.

Responsibilities

Essential Duties and Responsibilities of the Position

 

  • Assists and supports clients to provide the most efficient, effective, timely, and quality service for our participating entities; ensuring best practices and internal controls such as segregation of duties are in place.
  • Using Diocesan specified software (QuickBooks), performs accounts payable functions for multiple entities, including reviewing, coding, entering, and paying bills, reconciling vendor statements, researching billing discrepancies, and maintaining vendor relations.
  • Using Diocesan specified 3rd party payroll processor (Exponent HR), prepares, processes, and reconciles payroll for multiple entities.
  • Assists in coding entity deposits and entering same into QuickBooks.
  • Assists in performing tuition and fee receivable functions if applicable.
  • Assists in preparing cash flow projections as needed.
  • Assists in preparing annual entity budgets and entering same into QuickBooks.
  • Assists in analyzing and monitoring actual financial results and variances in relation to the budget.
  • Assists as needed with month-end and year-end close procedures.
  • Assists with retention of entity financial records.
  • Assists with preparation for entity annual audit/reviews.
  • Visits entities when necessary
  • Works cooperatively with entity personnel including Pastors, Business Managers, Principals/Presidents.
  • Ensures that all related Diocesan and Catholic Schools Office policies and procedures

 

  • Other duties as assigned.

 

Additional Ministerial Responsibilities:

  • Participates in regular staff meetings, Parish Business Managers meetings, and School Accountant meetings as directed.

Qualifications

Position Requirements

 

Knowledge, Skills and Abilities:

  • Values, upholds, and supports the mission, goals, and objectives of the Church; works with integrity; demonstrates sound moral and ethical principles at work.
  • Working knowledge of Generally Accepted Accounting Principles (GAAP), not-for-profit accounting, and internal controls, preferred.
  • Working knowledge of all Federal and State regulations to which the entities must adhere, preferred.
  • Proficient with Excel, Word, Outlook, and other Microsoft Office applications.
  • Working knowledge of QuickBooks preferred.
  • Working knowledge of tuition management systems such as FACTS Tuition Management, a plus.
  • Able to troubleshoot basic computer software related issues when needed.
  • Able to perform work with discretion and maintain confidentiality in all matters.
  • Well organized and detailed oriented.
  • Excellent oral and written communication skills.
  • Able to work independently.
  • Able to manage time well in a multi-task, deadline-oriented environment while working simultaneously with/for multiple entities.
  • Able to maintain a good working relationship with co-workers and clients.
  • Good math and calculation skills required as well as good knowledge of math functions in Excel.
  • Able to read, comprehend, and write instructions, correspondence, and memos.

 

Education and Experience:

  • Bachelor’s degree preferred.
  • Minimum three to five years’ experience in accounts payable and payroll processing.
  • Full-charge general ledger bookkeeping experience preferred.
  • Experience working with multiple entities or locations, a plus.
  • Bookkeeping experience in an academic/educational environment, a plus.

 

Special Requirements:

  • Must have a reliable means of transportation, a valid Texas Driver’s License, and proof of personal automobile insurance.
  • Must complete the Diocese of Dallas Safe Environment Training program, obtain a certificate, and renew the training annually as required.
